Business Benefits
With the number of Clients that you have, it is normal to find that some of them will have different Payment Terms and other details. On the other hand, some may have a similar name and can be distinguished only by other information (eg. address, Client code). It would be too onerous to expect the person handling the Invoicing to remember all these details or to re-enter them every time a Client is being processed.
Client codes are thus created to save you time during Order and Invoice processing. This program allows you to set up each Client's data.
Note: For related documentation and workflows, see CR - Client Related.
Usage
Use this job to create name and address information for the following applications: Accounts Receivable accounts, Brokers, Client Paying Offices, and Clients.
Customers who are not Clients in the Warehouse may also be created; i.e., because you could be providing non-Inventory related services.
Preconditions
Warehouse codes must be defined in program WP.11 [Warehouses],
Payment Terms in program CR.02 [Invoice Terms of Payment] or WP.21 [Terms Codes],
Sales Groups in program CR.05 [Sales Group Codes],
Invoice schedules in program CR.12 [Storage Periods/Billing Dates], and
Account Managers in program CR.04 [Account Managers].
Subsequent Actions
To print the details that were set up for the Client(s), you may select the PRINT option or run program CR.42 [Client Name/Address Report].
(Assuming that program CR.22 [Storage, Handling, Other Rates] has set up all the Charges) The normal sequence for setting up Clients (after this program is complete) is to run program CR.18 [Client Arrangements], then CR.62 [Client's Inventory Products].
If a Client record has been marked for deletion [D in Field 14], you must run program CR.52 [Inactive Client Deletion Rprt.] to remove Clients marked for deletion. That program checks to ensure that no business remains open for these Clients. Once this is confirmed, the Client records are deleted and an audit trail is produced. A Client will not be deleted if current records (such as Inventory or Accounts Receivable balances) are detected.
