WMS Client Related Setup Workflow

1. Purpose

Onboard a new client into the WMS by defining their identity, billing parameters, product catalog, and (optionally) lot-tracking rules. Completing these steps ensures that every inbound and outbound transaction for the client is correctly recorded, rated, and billed.


2. Step-by-Step Configuration

  1. Names and Addresses
    1. Type: Mandatory Setup
    2. Action: Enter the client’s legal name, billing and shipping addresses, primary contacts, and assign a unique client ID in the system.
  2. Rates
    1. Type: Mandatory Setup
    2. Action: Define all inbound and outbound rate schedules for this client, including handling fees, storage rates (per pallet/day or per cubic foot), and any special surcharges.
  3. Billing Profiles
    1. Type: Mandatory Setup
    2. Action: Create one or more billing profiles for the client. Configure invoice frequency, currency, net terms, tax rules, and any prorating or minimum-charge rules that govern how invoices will be generated.
  4. Client Arrangements
    1. Type: Optional Setup
    2. Action: Document and encode any special contractual terms or service-level agreements (SLAs) such as expedited handling windows, off-hours access, or custom penalty clauses. Link these to the client record so they drive exception workflows.
  5. Products
    1. Type: Mandatory Setup
    2. Action: Define the full SKU catalogue for the client: part numbers, descriptions, dimensions, weights, packaging rules, and storage requirements (e.g., ambient, frozen, hazardous). Mark any items that require special handling.
  6. Lots
    1. Type: Optional Setup
    2. Action: If the client uses lot or batch tracking, configure:
      1. Lot Components (e.g. date codes, shift codes)
      2. Lot Set Definitions (grouping components into named templates)
      3. Client-Product Lot Assignments so that incoming receipts automatically generate the correct lot codes.
  7. End 🟥
    1. All client master-data is now configured, and the client is ready for live transactions.

  • Client Master Record (Names & Addresses)
  • Rate Schedule Entries (Rates)
  • Billing Profile Configuration (Billing Profiles)

5. Best Practices

  • Order Matters: Complete the first three mandatory steps (identity, rates, billing) before moving on to optional items.
  • Consistency: Use standardized naming conventions (e.g., client codes, profile names) to simplify reporting and support.
  • Validation: After configuring rates and billing profiles, run a small test receipt/invoice cycle to confirm correct calculations.
  • Documentation: Store copies of customer agreements (step 4) in a linked document repository for auditability.
  • Lot-Tracking Checks: If you enable lot tracking, test with a sample SKU to ensure lot codes generate as expected in both RF and paper-based receipts.
